This page explains what each DoconDuty staff role can do, the Billing Admin role in particular, and which hospital jobs do not have their own role.
1. All staff roles at a glance
| Role | Portal | Created by | Can use |
|---|---|---|---|
| Hospital Admin | Admin Portal | Super Admin (when the hospital is added) | Everything for their own hospital — see the Hospital Admin Guide |
| Doctor | Doctor Portal | Hospital Admin (Doctors page) | Own appointments, own patients, prescriptions, vitals, viewing records — see the Doctor Guide |
| Front Desk | Front Desk Portal | Hospital Admin (Staff page) | Patients and appointments only — see the Front Desk Guide |
| Pharmacy Admin | Pharmacy Portal | Hospital Admin (Staff page) | Medicines (view), stock, prescriptions (view), pharmacy orders, refill requests — see the Pharmacy Guide |
| Lab Admin | Lab Portal | Hospital Admin (Staff page) | Test orders and lab reports — see the Laboratory Guide |
| Billing Admin | Admin Portal | Hospital Admin (Staff page) | Invoices (see below) |
2. Billing Admin
Who: accounts or billing staff.
How to log in: use the Admin Portal card and Login as Admin.
What a Billing Admin can do
| Page | Status for Billing Admin |
|---|---|
| Billing | ✅ Create invoices (New Invoice), change invoice status (Paid, Pending, Partial, Cancelled), download PDFs, email invoices to patients |
| My Profile | ✅ Change own name, phone and password |
| Financial Summary | ⚠️ Partly — invoice figures show; insurance figures depend on data the role cannot load |
| All other pages in the menu | ❌ Shown in the menu but will be empty or show an error ("Forbidden — this action requires the … permission.") |
Note: The Admin Portal shows the same menu to Hospital Admins and Billing Admins. A Billing Admin seeing a page in the menu does not mean they can use it. This is expected.
Known limitations for Billing Admins
Note: In New Invoice, the Patient and Doctor lists show your hospital's patients and active doctors by name only — a Billing Admin cannot open full patient records. Email Invoice (envelope symbol) sends the invoice to the email address on the patient's record; if the patient has no email address you will see "No email found for this patient".
Not available yet: Marking an invoice Paid (message: Marked Paid) records the payment only. No payment receipt email is sent.
Creating an invoice
- Select Billing, then New Invoice.
- Choose the Patient (and Doctor, if relevant).
- Add the Items with quantity and rate, any Discount (₹), and the Payment Method.
- Select Create Invoice. New invoices start as Pending.
Marking an invoice as paid
- Select Billing.
- Find the invoice by its number, patient or date.
- Confirm that the payment has actually been received.
- In the invoice's Status menu, choose Paid (or Partial for part payment).
- Use the download symbol if you need a PDF copy for the patient.
Important: DoconDuty records payments; it does not take payments. Mark an invoice Paid only after the money has been received.
3. Jobs without their own role
DoconDuty does not currently have separate roles or portals for:
- nurses or ward staff;
- ward attendants or patient-care assistants;
- housekeeping or cleaning staff;
- security staff;
- maintenance staff;
- human resources.
What this means in practice:
- Nurses who register patients, book appointments, check patients in or record intake vitals can be given a Front Desk account. (The Front Desk card on the home page is labelled Front Desk / Nurse for this reason.) A Front Desk account cannot see prescriptions, medical records or bills.
- Staff whose work does not involve patients, appointments, medicines, laboratory reports or bills do not need a DoconDuty account.
Not available yet: Staff attendance, duty rosters, shift scheduling, payroll and leave management are not part of DoconDuty. Continue to manage these with your existing processes. (Doctors' consulting schedules can be set in Dr. Availability by a Hospital Admin.)
4. Asking for a different level of access
Each role has a fixed set of permissions. If someone needs more or different access:
- Their Hospital Admin decides whether a different role is appropriate.
- Roles cannot be changed from the Staff page at present, so the Hospital Admin contacts platform support to change the role, or deactivates the old account and creates a new one with the right role (using a different email address).
Never share an account between people to work around a missing permission.
